How to Check Off Tasks and Track Progress in a Project

Open a project, check off tasks post by post, move finished posts to Done, and track progress from Explore and Home.

Once posts are in your project, the project page becomes your to-do list. You open a post, do the work in WordPress, check off each task, and the post moves to Done when its checklist is complete. Here is how to work through a project and keep an eye on progress.

Open a Project

Click Projects in the top navigation, then click the project name. At the top of the project page you will see:

  • The project name, the people assigned to it, and the description (click Show More to read a long one).

  • The due date, or No Due Date.

  • A progress bar showing the percent of all task checkboxes in the project that are complete.

  • The project menu (...) on the right, which holds the actions covered below.

The To Do and Done Tabs

The To Do tab lists every post that still has at least one unchecked task. The Done tab lists posts where every task is checked. Each row shows the post title and how much is left, such as 3 Tasks To Do, or All Done.

The list is sorted by title and shows 30 posts per page. Click the Title or Tasks column header to sort differently.

Check Off Tasks

1. On the To Do tab, click a post title (or its Tasks To Do link). The row opens to show the checklist.

2. Use the links under the title to jump to the post: View in Clariti opens the post detail page, View in WordPress opens the live post, and Edit in WordPress opens the WordPress editor in a new tab.

3. Make your changes in WordPress, then come back and check each task you finished. Each checkbox saves right away.

4. When the last task is checked, the post moves to the Done tab.

When you come back to a project, Clariti opens the post you were last working on (or the first post in the list), so you can pick up where you left off.

Every task you check also adds an entry to that post's Timeline card on its Overview tab, grouped under the project name. That gives you a dated record of the work, which is handy when you are looking at a traffic change months later. Unchecking a task removes the entry.

Check Off Tasks from the Post Itself

You do not have to be on the project page. Open any post in the project and look at the Tasks card on its Overview tab. The project name appears there with its tasks, and you can check them off right on the post. Completed tasks drop off that card after two hours, but they stay complete in the project.

Mark Several Posts Complete at Once

If you finished the work outside Clariti, say your VA fixed alt text on 40 posts in one afternoon, you can update them together.

1. Check the box to the left of each post. The checkbox in the header selects every post on the current tab.

2. Open the project menu (...). Under Selected Items, choose Mark as Complete on the To Do tab, or Mark as Incomplete on the Done tab.

3. Click Yes, Proceed.

Mark as Complete checks every task for those posts and moves them to Done. Mark as Incomplete unchecks every task and moves them back to To Do.

Remove Posts from a Project

1. Check the box next to each post you want to remove.

2. Open the project menu and choose Remove from Project.

3. Read the warning and click Yes, Proceed.

Removing a post only takes it out of this project. The post stays in Clariti and WordPress. Any tasks you already checked for that post in this project are lost, so if you add it back later, it starts with a fresh checklist.

When Everything Is Done

When every post is on the Done tab, the To Do tab shows All Done! with an Archive this Project button. Archiving moves the project to your Archived tab and keeps the record of your work. See Managing Projects: Edit, Duplicate, Archive, and Delete.

Find Project Posts in Explore

The Projects filter in Explore lets you combine project status with everything else Clariti knows about your posts.

1. In Explore, click Add Filter and choose Projects.

2. Choose In or Not In.

3. Choose Any Project or a specific project. Archived projects are listed at the bottom.

4. If you chose In, pick a status: Any Status, To Do, or Done.

For example, filter to posts In your "Fix Broken Links" project with status To Do, then sort by Page Views to fix your busiest posts first. Or use Not In with Any Project to find posts you have never put in a project. In Super Search, the phrases that are in a project and that are not in a project do the same thing, as in Posts that are not in a project by most views.

See What Is Due on Home

The Upcoming Tasks card on your Home dashboard lists active projects that are due in the next 30 days and still have open tasks, with a count like 12 tasks remaining. Click a project to open it. If your team has more than one member, use For Me to see only projects assigned to you, or For Team to see everything.

Frequently Asked Questions

Why can't I check boxes in an archived project?

Archived projects are read-only. Return the project to active from the project menu (Return Project), and the checkboxes work again.

Can two people work on the same project?

Yes. Everyone on your team sees the same project and the same checkboxes, so if your editor checks off a task, you will see it too.

Does removing a post from a project change anything in WordPress?

No. Removing a post only takes it off this project's list, and nothing changes in WordPress.
