Notes and tasks keep your plans attached to the post they are about. Jot down "Readers keep asking for a dairy-free swap" on your lasagna post, or add a task to "Reshoot the hero photo" with a due date and the teammate who is doing it. You add both from the post's Quick Actions menu.

Notes
Add a Note
1. Open the post by clicking its title in Explore.
2. Click Quick Actions and choose Add Note, or press Opt + N on a Mac or Alt + N on Windows.
3. Type your note. Notes can be up to 320 characters, and a counter shows how many you have left.
4. Click Continue.
Where Notes Show Up
Notes appear in the Notes card on the post's Overview tab, with when each one was written and who wrote it. The card shows up once the post has at least one note.
Edit or Remove a Note
Click the pencil next to a note to edit it, or the trash can to remove it (then Yes, Remove It). You can edit and remove your own notes. The site owner can edit and remove anyone's.
Tasks
Add a Task
1. Open the post, click Quick Actions, and choose Add Task, or press Opt + T on a Mac or Alt + T on Windows.
2. Under Task, describe what needs doing, in up to 100 characters.
3. Under Due, keep No Due Date or choose in 3 days, in 1 week, in 2 weeks, in 1 month, in 2 months, in 3 months, in 6 months, or in 1 year. You can also choose Custom and pick a Date.
4. Under Assign To, choose Not Assigned, Myself, or a teammate.
5. Click Continue.
Where Tasks Show Up
The Tasks card at the top of the post's Overview tab lists every open task for the post. That includes the tasks you added here and the tasks from any active project the post belongs to, grouped under the project's name. Click a project name to open the project.
Each task shows when it is due, like Due in 3 days, or No due date. Overdue tasks turn red.
Tasks due within the next month also appear on your Home dashboard in the Upcoming Tasks card, where For Me and For Team switch between your tasks and everyone's. See Your Home Dashboard, Card by Card.
Complete a Task
Check the box next to the task. It is crossed out and marked with when it was done. Completed tasks stay on the card for two hours, so you can uncheck one you ticked by mistake, and then drop off the list.
Every completed task is recorded on the post's Timeline card and shows as a task marker on the post's performance chart, so you can see later what you did and when. Checking off a project task here also marks it done in the project.
Edit or Remove a Task
Click the pencil next to a task you added to the post to change its text, due date, or assignee, or the trash can to remove it (then Yes, Remove It). Project tasks are managed in the project itself. See Managing Projects: Edit, Duplicate, Archive, and Delete.
The Timeline
The Timeline card on the Overview tab is a dated history of the post, grouped by day. It shows the post's annotations, the tasks you completed on the post, and completed project tasks under the project's name. You can edit an annotation from here with the pencil, and remove any entry with the trash can. See How to Use Annotations on Your Performance Charts.
Frequently Asked Questions
Who can see my notes and tasks?
Everyone with access to the site. Notes and tasks belong to the post, so your whole team works from the same list.
Does assigning a task email the person?
No. Assigned tasks show on that person's Home dashboard under Upcoming Tasks when they are due within the next month. For an email on a specific date, set a reminder instead.
Why did my completed task disappear?
Completed tasks leave the Tasks card two hours after you check them off. You will still find them on the Timeline card.
When should I use a note, a task, a reminder, or an annotation?
A note is for context you want to remember. A task is something to do. A reminder emails you or a teammate about the post on a chosen date. An annotation marks a date on the performance chart, like the day you updated the recipe.
Can I add the same task to lots of posts at once?
Yes, with a project. Every task in a project applies to every post in it. See How to Add Posts and Pages to a Project.
